No considerations or revision in the contract price or scope of the project will be considered by the Iowa DOT for any item which could have been revealed by a thorough on-site inspection and examination.
The DOT highly recommends all contractors interested in this project attend the prebid/site visit meeting. Prior to bidding to ensure you have a good understanding of the project, size, and the opportunity to ask questions.
Pre-Bid/Site Visit Conference
The purpose of the Pre-Bid conference is to discuss with prospective Bidders the work to be performed and allow prospective Bidders an opportunity to ask questions regarding the RFB. Verbal discussions at the Pre-Bid conference shall not be considered part of the RFB unless confirmed in writing by the Iowa DOT and incorporated into this RFB. The conference may be recorded. Questions asked at the conference that cannot be adequately answered during the conference may be deferred. A copy of the questions and answers will be posted on the DOT website for viewing.
Cleaning to be done once a week.
ALL LINES ARE REQUIRED TO BE BID TO BE CONSIDERED AND TIED.
Contract Award
The Contractor will be awarded a one (1) year contract with an option to renew for ( five ) additional years in twelve (12) month increments.
It is the intent of the Iowa DOT to award the contract to the responsible bidder whose submitted quotation is the most advantageous to the Iowa DOT, cost and other factors considered. Other factors include, but are not limited to: meeting or exceeding mandatory requirements, proposed staffing, and meeting required time schedule.

Question What is the total amount of floor square footage that needs to be strip and wax?
Answer Please reference to the Scope of Work and Specs for Cleaning Svcs for the Fairfield Admin Building with Apdx A attached on the 'Attachements' tab of this RFB. In Appendix A it states under Once a year section, that the Strip/Wax Hard Floors is Only Men's & Women's Restrooms located in the Materials Lab Section.

Question How many windows needs to be cleaned?
Answer Please see the attachment named, Site Exterior Photos - Appendix C.pdf. This is located on the 'Attachments' tab of the RFB. These photos show the first floor windows around the building. Clean interior and exterior windows on first floor only.

Question Who will be providing the paper products and cleaning supplies?
Answer As stated in the scope of work and specs attached on the Attachments tab of the RFB the Iowa DOT will provide the following all other items the Contractor will provide.. See section 1.2 Cleaning.

1.2 Cleaning

The Iowa DOT will provide paper products for towel dispensers, hand soap, toilet

tissue, cleaning rags, trash can liner, equipment (mops, broom), and related items.

DOT paper towels should not be used as cleaning supplies. The Contractor is

responsible for supplying all other cleaning supplies, materials and equipment. The

DOT has cleaning supplies and equipment on site for DOT use only.

Question Is it required to have one cleaner at the job site at once or can we have multiple?

The Cleaning Crew must consist of a lead worker but you can have more than one worker(s) to clean the job site.

In Section 1.3 Hours of Operation:

Hours of Operation are: Monday- Friday 8:00 a.m.-4:30 p.m. Service hours to be completed after hours of operation. Cleaning services are to be completed one day a week any time after one hour close of business and before one hour opening of business. Cleaning services will not be expected on Iowa DOT Holidays.

Weekend cleaning is also okay, Saturday or Sunday.

Additional holiday days where cleaning will not be expected Wednesday, November 22nd, 2023 and December 26th, 2023.

Question The information on the event details/ bid post states that "Cleaning to be done two days a week", however, the information on the Scope of Work Attachment states that the cleaning are to be completed one day a week. Is the cleaning twice a week or once? Thank you.
