Notes Iowa State University of Science and Technology, also referred to as Owner, is seeking bids for a five-year biological safety cabinet (BSC) certification and repair contract on equipment owned by ISU. The successful Contractor will be responsible for serving as a University provider for certification testing and repairs of biological safety cabinets and other HEPA filtered laboratory equipment. The contract may also include certification and repair of horizontal laminar flow cabinets, decontamination and repair of biological safety cabinets, room decontamination, certification of Air Handing Unit HEPA filters, certification of Innovive Inc. cage racks, and testing of three sterile pharmacy suite areas.

Bid Questions
Question This question pertains to the HEPA bank replacement. Will the replacement media be supplied by the university? How many filters are contained within the 2 banks?
Answer

For HEPAs that are in banks we are normally charged the priced for the number of filters in the bank- so banks of 6 filters are charged for 6 HEPA certifications. The difference is we get one certification report instead of 6 because they fail or pass as one unit.


For the pharmacy: There are 3 clean room suites composed of a 2-3 connected rooms each. Right now we get billed for 8 total clean room testing charges, 18 viable counts and 8 HEPA filters. Any equipment located in the clean room (biosafety cabinet , clean bench etc.) are billed at the normal rate.


Here is a list of HEPAs on campus. Only the VDL rooftop has prefilters that are being replaced by the current contract holder:


Vet Med 2146: 1 Supply and 1 Exhaust HEPA


VDL Rooftop: 2 Banks of HEPAs. Each bank has 6 HEPAs and 6 prefilters. The prefilters are replaced every 6 months because as they load they cause airflow issues in the facility. Current contract holder has been providing the prefilters. The facility has the capability to operate as BSL3 but operates as BSL2 normally. If they ramp up to BSL3 a gas decon would be done after the event is over. VDL is responsible for disposal of the prefilters, which current contract holder bags for disposal.

Vet Med Animal Holding: 1 bank with 2 filters

Question May i have the model numbers or the SN# of the equipment. who is the manufacture?
Answer
The biosafety cabinets consist of the following manufacturers:



  • NuAire

  • Thermo Scientific

  • Baker

  • Labconco




Can you please specify what serial numbers you are wanting? As the bid shows, there is over 300 different pieces of equipment.

Question This question pertains to the pharmacy compounding space...Is there a better drawing available that shows HEPA filter and primary engineering control locations?
Answer
There are 8 HEPAs in the pharmacy. An additional attachment has been added, Drawing M7.27. If you would like to tour the area to gain additional information, please get in touch with the Procurement Agent in charge of this bid via email.

Question This question pertains to the sterile compounding pharmacy spaces...Has the pharmacy developed a comprehensive risk based viable sampling plan? Can this sampling plan be shared with the participants in the RFQ? (Sample locations and quantities)
Answer The sampling plan was determined with the current contract holder and would not be able to be shared with participants due to proprietary information. If you would like to tour the area and discuss with the current area manager, please get in touch with the Procurement Agent in charge of this bid.
