Question What is the average number of monthly patient visits?
Answer This fluctuates within the school year, but a good estimate is 3300 visits per month.

Question I see there is some appointment booking capability on the Thielen SHC website. Are you currently using a patient portal such as Nextgen Enterprise Portal or something in Access Plus? What percentage of your appointments are currently booked online?

We are using online scheduling through Nextgen/Medfusion. Since restarting Online Scheduling on 9/5/2022, 2.8% of appointments have been scheduled online to date.

Question Our pricing is usually based on enrollment and provider count. From the Thielen SHC website, it appears there are 20 providers. Is this the number we should be using? What is your approximate annual visit count?
Answer



20 should suffice. We are currently licensed for 5 Full Time Providers, 7 Part-Time providers, and 7 mid-level providers. Approximate Annual Visit Count: 65,000 (250/day x 5days/week x 52 weeks).

Question Who will use the portal? Is it just students? Do dependents use the Health Service? Do employees use the health service for limited services such as flu shots or COVID testing? Does any group other than students need access to the portal?
Answer



Primarily students. We do see spouses of students if the student signs up for the SSHIP insurance plan and includes the spouse. We do not see dependents pediatrics. We may see ISU employees, but that is limited to physical therapy. Note that PT has not used portal to date, but the visits do display in our current system.

Question Will you be handling the US and International Student Entrance Immunization Requirements in the portal or will that be handled in AccessPlus?

The International Student Entrance Immunization Requirements is to to be handled through the portal.

Question Have you done many customizations to your Nextgen system or is it largely out-of-the-box?
Answer



Yes, we've customized many templates but have begun to scale back with Nextgen's new ACE templates.

Question Is your Nextgen system on-premises or cloud-based? Is it Office or Enterprise? Can you provide details on the version, release number, when you last upgraded, and whether you have a Nextgen test system we can use for interface/upgrade testing?

Cloud-based (Azure). Enterprise. 5.9.2020.1, Build 5.9.4.159 Build Date: 11/3/2021. Yes, we do have a test environment.

Question Will students require access to the patient portal after they graduate as part of fulfilling the requirements of the Cures Act and meeting record retention requirements? This is becoming an important role for patient portals. Are ISU netid’s retained for life-like UID’s or are they recycled? This could be an issue for post-graduation access.

Confirmed that Net-IDs are not recycled and remain linked to the original user. We would want patients to be able to access the portal after graduation.

Question Would we also need to support University ID logins (UID) or would ISU netid be all we would need?
Answer



ISU Net-ID should suffice.

Question The RFP questions did not mention anything about how students are authenticated when they login to the portal. Most of our sites use campus authentication. Would you want us to authenticate with federated SAML, so the student would just us their ISU netid or do you want them to have to create their own separate account in the patient? Almost all of our sites use campus authentication with some form of federated SAML.
Answer



Preference would be to use their existing Net-ID. With our current patient portal, the NetID is not used or matched at all. Patients create a unique username and password separate from their NetID.
